Why Asset Information Requirements Drive Better Decisions


The right asset information gives Owners and Infrastructure Authorities the confidence to make better operational, maintenance and investment decisions.
An Asset Owner does not need information simply because a project has produced a BIM model.
They need information because they have decisions to make.
Which assets require maintenance?
Which equipment is approaching the end of its useful life?
Which assets are critical to operations?
Where are they located?
What does it cost to maintain them?
Which assets should be replaced first?
What information should be available to a technician responding to a failure?
These questions sit at the heart of Asset Management and Facilities Management.
This is why Asset Information Requirements (AIR) are so important.
AIR provide the bridge between the organisation's information needs and the specific information required about the assets it owns and manages.
From Organisational Need to Asset Information
In the previous article, we looked at Organisational Information Requirements (OIR).
OIR begin with the organisation's strategic objectives and establish what information is needed to support those objectives.
AIR take the next step.
They ask:
What information do we need about our assets to manage them effectively?
For example, an organisation may have an objective to improve preventive maintenance.
That objective creates an information need.
The AIR may then establish that maintainable assets require information such as:
Unique asset identifier
Asset type and classification
Location
Manufacturer
Model number
Serial number
Maintenance requirements
Warranty information
Commissioning information
Relevant operational characteristics
The important point is that these requirements are not arbitrary data fields.
They exist because the organisation has a reason to use the information.
Information Should Support a Decision
This is perhaps the most important principle when developing AIR:
Every significant information requirement should have a purpose.
Consider a university or hospital managing hundreds of air-conditioning units.
Knowing the manufacturer's name may be useful.
Knowing the model number may be useful.
Knowing the warranty expiry date may be useful.
Knowing which rooms or spaces the equipment serves may be extremely important when planning maintenance or shutdowns.
But simply having these fields populated does not automatically create value.
The value comes when the information enables someone to make a better decision.

AIR Should Be Written for the Asset Lifecycle
Asset information is not only required at handover.
It has value throughout the asset lifecycle.
Planning
Information can support decisions about asset needs, capacity and investment.
Design
Information can help evaluate proposed systems, maintainability and lifecycle implications.
Construction
Information can establish what assets are being installed and how they should be identified.
Commissioning
Information can confirm that systems and equipment have been tested and are ready for operation.
Handover
Information provides the foundation for populating asset management and FM systems.
Operations
Information supports maintenance, safety, compliance and day-to-day decisions.
Renewal and Replacement
Information supports condition assessment, lifecycle planning and capital investment decisions.
This means AIR should be developed with the future operational use of the asset in mind—not simply the requirements of the construction project.
The Problem with "Collect Everything"
One of the risks in BIM and digital transformation is the assumption that more data automatically creates more value.
It doesn't.
An Asset Owner can receive a model containing thousands of parameters and still struggle to manage the facility.
Why?
Because the information may be:
Irrelevant
Incomplete
Inconsistent
Incorrect
Difficult to access
Poorly structured
Not aligned with operational workflows
The objective of AIR should therefore not be:
Capture as much information as possible.
It should be:
Capture the information required to support defined business and asset-management decisions.
This distinction can significantly improve the quality and usefulness of the information delivered.
AIR Create a Common Language Between Owner and Project Team
There is another important benefit.
Asset Owners understand their operational requirements.
Consultants and contractors understand how to design and construct the asset.
BIM teams understand how information can be structured and exchanged.
Without clearly defined requirements, each participant may have a different interpretation of what "complete information" means.
AIR provide a common reference.
They establish expectations for matters such as:
What assets need to be identified?
What information is required about each asset?
How should assets be classified?
How should locations be identified?
What information is mandatory?
When must information be delivered?
What standards should be followed?
How will compliance be checked?
This makes it possible to move from general expectations to measurable information requirements.
AIR Are the Foundation for BIM Compliance
This is where Asset Information Requirements connect directly with BIM Compliance and Data Validation.
You cannot effectively validate information unless you know what the information is supposed to contain.
For example, an AIR may require every maintainable mechanical asset to have:
A unique identifier
Asset classification
Manufacturer
Model
Serial number
Location
Maintenance information
These requirements can then become validation rules.
The project information can be checked to determine:
Is the asset present?
Is the identifier populated?
Is the classification correct?
Is the location valid?
Are mandatory attributes complete?
Does the information comply with the agreed standard?
This transforms AIR from a document into something that can actually drive quality assurance.
From AIR to Automated Validation
This is particularly powerful as organisations move toward structured and machine-readable information requirements.
A simplified workflow could be:

Standards and technologies such as ISO 19650, IFC and IDS can support this increasingly structured approach.
The long-term opportunity is to move away from manually checking whether information has been delivered and toward rule-based validation of information against clearly defined requirements.
That is where BIM Compliance becomes much more than model checking.
It becomes information assurance.
The Asset Owner Must Define What Matters
AIR should not be developed solely by the BIM team.
The BIM team can provide the technical expertise required to structure, communicate and validate information.
But the Asset Owner and operational stakeholders need to determine what information has value.
Facilities Management may need maintenance information.
Asset Management may need lifecycle information.
Finance may need replacement-value information.
Health and Safety may need compliance information.
Operations may need system relationships and dependencies.
The organisation therefore needs to bring these requirements together into a coherent information strategy.
The consultants and contractors then become responsible for producing the required information.
This distinction is critical.
The Owner defines the need. The project team delivers the information. The validation process provides confidence that the requirement has been met.
AIR Turn Information into an Asset
A physical asset has value because it provides a service.
The information associated with that asset has value because it helps the organisation understand, operate, maintain and manage it.
A pump without reliable information is still a pump.
But knowing:
Where it is
What system it belongs to
What it serves
Who manufactured it
What model it is
When it was installed
What maintenance it requires
What its warranty covers
When it should be replaced
makes that asset considerably easier to manage.
The information therefore becomes an important part of the organisation's ability to realise the asset's full lifecycle value.
Conclusion
Asset Information Requirements are not simply another BIM document.
They are a mechanism for translating organisational and operational needs into specific, usable and measurable asset information.
The real test of an AIR is therefore not:
Have we captured all the required parameters?
It is:
Can the information help someone make a better decision?
That is the shift Asset Owners and Infrastructure Authorities need to make.
From data collection to decision support.
From project deliverables to lifecycle information.
From model compliance to information assurance.
And ultimately:
From information that exists to information that can be trusted and used.
That is where Asset Information Requirements create real value.
